Chart Preparation

Another important item that can keep you on schedule or slow you down is chart preparation. You want to make sure that your office staff has collected all of the items that the patient will need prior to their appointment. This means that if a new patient is coming to see you and has imaging studies, labs, etc., which were already done by the referring physician, the patient should be asked to bring all of these to the office for their appointment. In addition, it is even more helpful if your staff can find out where the testing was done and already have a copy of the reports in the patients chart for you to review before walking in the room to see the patient. When these steps are not followed, the office staff will usually try to call the lab, imaging facility, or other doctor’s office to get this information, but it often requires more paperwork in terms of medical release forms and can take time. You will not want to waste time waiting for the results, and the patient does not want to sit and wait for you until the results arrive. The chart preparation also applies to postoperative patient information as you will want copies of the operative report and any pathology results available for the appointment. Preparation ahead of time also works well for procedures. If you or your staff knows that a patient is coming to the office for a procedure, it will help keep you organized and on time if the staff has the room set up ahead of time. This will include having any consent forms that the patient will need to sign available, any typed instructions that you would like to give the patient after the procedure, and equipment and dressings that you will require.
